CHILMARK PERSONNEL BOARD MEETING Jan. 29, 2005 – CHILMARK TOWN HALL

CALL TO ORDER:  1:13 p.m.

PRESENT:  Members Jennie Greene, Richard Williams, and Lois Norton. Also present: Selectman - Riggs Parker, and Luanne Johnson – Admin. Asst.

·       MINUTES: The PB reviewed the edited minutes from the 22 January meeting.  There was a motion to approve these minutes as edited.  It was seconded, voted, and so carried.

RECEPTIONIST/ASSISTANT JOB DESCRIPTION
·       The PB reviewed the current Receptionist/Assistant job description, along with a list of current duties submitted by Annette Anthony, in order to amend the job description to reflect current duties and consider a grade adjustment for the position.  Lois made a motion to recommend to the Board of Selectmen to amend the job description of Receptionist/Assistant to include (1) attend meetings and type minutes/correspondence of the Finance Committee and Board of Selectmen as necessary, (2) Assist the public with the filing procedures and board/commission questions, (3) Other related duties as required, and to increase the grade of the position from 5 to 6, effective 1 July, 2005.  The motion was seconded, voted, and so carried unanimously.
·       The PB considered the Executive Secretary’s request to add the duties of Assistant Town Clerk to the Receptionist/Assistant job description, but all agreed that adding these duties would be adding an additional position to the position of Receptionist/Assistant.  The PB agreed that the Receptionist/Assistant could assist the public in securing any permits that do not require the Receptionist/Assistant to be registered with the state Attorney General as this type of work is covered in the job description.

JOB DESCRIPTION FOR COORDINATOR OF ADMINISTRATIVE SUPPORT
·       The PB worked together to create a draft job description for a Coordinator of Administrative Support for the Town.  They completed the draft job description and asked Luanne to forward it to the Selectmen for their review after the PB reviewed and edited the document.
·       Members of the PB agreed to attend the 1 Feb. meeting of the Selectmen to support the Coordinator position.

OTHER BUSINESS
·       The PB agreed to meet on Friday, Feb. 11th, and Thursday, Feb. 24th at 8:00 am at the Town Hall.
·       There being no further business, a motion was made to adjourn the meeting. It was seconded, voted and so carried. Meeting adjourned at 4:29 pm
